Privacy Policy

This policy explains what information Gatewood RP ("Gatewood", "we", "us") collects, why, and what you can do about it. It covers this website, our Discord server and bots, our FiveM game server, and Gatewood Clips, the internal tool our media team uses to post gameplay clips to Gatewood's official social media accounts.

1. Information we collect

This website

• No accounts, no advertising and no tracking cookies.
• Our host, Netlify, processes standard request data (IP address, browser type, pages requested) to deliver and secure the site.
• The status page keeps a short player-count history in your own browser (local storage). It never leaves your device.
• Fonts load from Google Fonts, which receives your IP address when you visit.

Discord

• Your Discord user ID, username, roles and server activity needed to run the community.
• Anything you submit to our bots: verification, applications, support tickets (including transcripts), reports and reactions.
• Moderation records such as warnings, kicks and bans.

The game server

• Your FiveM / Rockstar license identifiers, linked Discord ID and IP address, used to run the server, enforce whitelists and bans, and stop cheating.
• Character data (name, money, inventory, vehicles, property) and in-game logs.

Gameplay recordings

• Staff, creators and members record gameplay. Clips can include your character, your in-game voice and your character or player name.

2. Gatewood Clips and social media platforms

Gatewood Clips is a private tool used only by Gatewood staff. It connects only to Gatewood's own accounts on TikTok, YouTube, Instagram and Facebook, and uses each platform's official API to upload our own gameplay clips to those accounts.

• What it accesses: the basic profile of our own account (account name and ID) and permission to upload and publish videos to it. It does not access, collect or store information about other users of those platforms, such as viewers, followers, comments or messages.
• Login tokens that let the tool post are stored on our own server, are never shared, and can be revoked at any time.
• Captions: to add subtitles, a clip's audio is sent to a speech-to-text service (Groq). The transcript and the media team's notes are sent to an AI model (Anthropic's Claude) to draft a caption. Neither is used to identify anyone.
• Clip files are deleted from our server 7 days after posting. Published videos stay on the platforms until we remove them.

3. How we use information

• To run the game server, the Discord and this website.
• To review applications, answer support tickets and handle reports.
• To enforce our rules, including bans and stopping ban evasion and cheating.
• To promote Gatewood by sharing gameplay clips on our official channels.

4. Who we share it with

We do not sell your information. We only share it with the services that run Gatewood: Netlify (website hosting), Discord, Cfx.re / FiveM, the social platforms we post to (TikTok, Google / YouTube, Meta), Groq and Anthropic (clip captions), and our server host. We may also disclose information if the law requires it, or to protect our community from cheating, abuse or harm.

5. How long we keep it

• Clip files: 7 days after posting.
• Applications and tickets: for as long as they are useful for running and moderating the community.
• Ban records: for as long as the ban applies.
• Characters: until you ask us to delete them, or the server is wiped.

6. Your choices

• Clips featuring you: ask and we will take down a clip that features your voice or character.
• Your data: you can ask to see or delete what we hold. We may keep ban and moderation records where we need them to keep the community safe.
• To make any request, open a support ticket in our Discord.

7. Age

Gatewood is an 18+ community. Our services are not directed at children, and we do not knowingly collect information from anyone under 13. If we learn we have, we delete it.

8. Security

Access to our servers, bots and social accounts is limited to staff who need it, and login tokens and keys are kept off public code and websites. No system is perfectly secure, but we take reasonable steps to protect what we hold.

9. Changes

If this policy changes, we will update it here and change the date at the top. Important changes will also be announced in Discord.
